“We believe in making the administrative chores of managing your various facilities simpler and more efficient, so that more time, effort (and money) can be spent on your business’s core purpose – whatever that may be.”
Tag It
Scan It
Manage It
Simple – stick the unique “TISI Tag” onto your asset.
All TISI Tags are
Tag It Scan It encodes and supplies TISI Tags.
Once the TISI Tag is attached, simply scan it using any Smartphone equipped with either a standard QR reader or NFC scanner.
Every asset in your establishment that needs tracking and managing has a unique code affixed to it, using tamper-proof labels.
The NFC is embedded behind the QR code on the back of the label. To scan a QR code, the smart-phone uses it’s in-built camera and QR code scanner software, either pre-loaded or downloaded for free from the App store. And NFCs is even easier, just tap and go. All new Android, Windows and Blackberry next-generation phones now shipping have in-built NRC readers, as will the iPhone6 when it is released in July 2013.
At set-up phase, an administrator scans each item in any given location and assigns it to that location, with a full product description and any additional information on the item that you wish to keep, such as:
This can be done using a smart phone, tablet or PC.
For the fabric of the building – doors, walls, floors, ceilings – NFC’s can be positioned discreetly: for example, behind kick-plates on doors, or behind light switches, for the purposes of room-by-room facilities management. NFC’s can be read by enabled phones/tablets behind 3mm-thick metal, and paint, and up to 20mm wood, plastic, paper or glass.
Asset Management Made Simple
TISI Asset Manager offers a simple, cost-effective solution to your educational establishment needs for real-time information in tracking and accounting for the various assets under your control.
In summary, this means:
Future Proof
TISI Asset Management is the only cloud-based online system which uses QR codes and/or NFCs (Near Field Communicators) at the heart of its methodology. QR codes offer a simple solution today, but with inbuilt NFC capability as well. TISI Tags used by TISI Asset Management offer immediate time saving as well as future-proofing this important part of your administration.
Benefits
The key benefit of using this technology generally is that, once it has been set up, anyone on your staff with a smart phone or tablet – and the right permissions – can keep your information up to date, when changing location of or adding any new item of equipment or furniture.
So not only is stock control and location made easy, audits are quicker and simpler to carry out too. Locations are managed and amended in real time without the need for a central administrator, and all changes are trackable and checkable.
Reporting
Instant reports are therefore available in terms of:
Or any other report you require.
How It Works
The NFC is embedded behind the QR code on the back of the label. To scan a QR code, the smart-phone needs to have downloaded a free QR code scanner. Most next-generation phones will have them in-built – and NFCs will be not far behind.
Once you have tagged, scanned and filled in your asset register, most of your work is done. You have an accurate register of everything of value on the premises and a schedule of actions that need to take place to keep everything working safely, efficiently and legally.
Amendments to that register can be made by any accredited member of staff, using any smart phone or tablet. And because it’s all cloud-based, you can manage your records from any location. Which means that in the unfortunate event of fire, flood or other damage, you have a built-in disaster recovery tool too.
And at year end, you have an accurate record of asset value for the Report & Accounts.
It is that simple.
Once you’re ready to migrate to NFCs to manage your system, things will get even quicker: instead of scanning and downloading information on each item – which takes about 15 seconds via QR codes – the NFC automatically opens the relevant field within 2 or 3 seconds of placing a device next to it. (Think about how you use an Oyster card for travel in London, which uses NFC technology).
The time saving over a year for an establishment with many thousands of assets will amount to many hours – days, even. And TISI Asset Management is already enabled to use both technologies: there will be no need for any sort of upgrade or addition to the system (or cost implication).
Can students with smart phones scan the codes and get information on them?
Yes, but without the necessary permissions, they can only see the basic register information and cannot make any changes to it.
System Benefits
There are five core benefits to using the TISI Asset Management system:
Ease and flexibility of use No need for bar-code scanners or specially assigned administrators, though you’ll probably have your system over-seen and managed by your caretaker/facility manager.
Cost saving The set-up costs are likely to be more than offset by savings in insurance premiums, and equipment purchasing (not making unnecessary new purchases because existing unused assets on the premises can be identified and located).
Time saving The benefits over an old-fashioned paper trail are obvious. Likewise a basic spread-sheet record. And automatically populating TISI Asset Management system from a CSV export removes the need for duplicate data.
Once you start to use NFCs for the purpose – remember, they are incorporated into our QR codes as standard – amendments will take literally seconds.
Efficiency and peace of mind
Once set up, asset management virtually takes care of itself. You’ll probably want to carry out an annual stock audit for peace of mind – and the accounts – but even that will take next to no time. You can use our simple “Traffic Light” Status field to report and track maintenance and warranty issues, and use the “Public Data” scan to check where assets need returning to when they have been borrowed – with or without permission.
Security
While our system cannot prevent theft, it makes it a lot more difficult to get away with – especially if you combine it with UV marking of asset numbers and post code on your most valuable assets.
We know that asset management in hospitals only requires formal information to be held on equipment with a value of more than £5,000.
But even so, keeping tabs on every item is a bureaucratic nightmare.
Many of these will be big-ticket fixtures and fittings, which generally stay in one place, but you still need to know their cost, depreciation, current value, warranty status and maintenance scheduling. And what of all the thousands of items that are both movable and worth between, say, £1,000 and £5,000, over which there is no apparent control whatsoever?
With TagItScanIt, once data is in the system, it can be put to many other time-saving uses too: like the recording of PAT tests for health & safety purposes; the disposal of old equipment under the WEEE Directive; re-ordering of equipment supplies like toner or light bulbs.
Once you have the system in place, you’ll wonder how you ever did without it. And even if you don’t need it to keep tabs on lower-cost equipment, you’ll start to wonder whether it wouldn’t be a good idea to know where all those assets actually are, who’s using and responsible for them (and lots of other things you’ll think of, to make your job easier and more efficient).
One of the other big benefits of the TagItScanIt system is that every application can be tailor-made to the user’s own needs, wants and specifications. We think we’ve covered most of the angles in the modules that are already available, but if you find some that aren’t, we’re more than happy to add your bespoke requirements to the system.
And the whole system is future-proofed, using Near Field Communicators (NFCs) as well as QR codes in one all-encompassing system: you can use either or both – it’s designed to work across both platforms seamlessly. So when the next generation of smart phones incorporates NFC readers, you’ll be already ahead of the game.
For most schools, the annual stock-check is quite simply a headache that the facilities management people could do without.
Many still use simple Excel files that are little more than manual lists of equipment, which means that any interrogation also has to be done manually.
With TagItScanIt, once the data is in the system, it can be put to many other time-saving uses too: like the recording of PAT tests for health & safety purposes; the disposal of old equipment under the WEEE Directive; the diarizing of maintenance schedules and warranty issues; re-ordering of equipment supplies like toner or light bulbs.
Once you have the system in place, you’ll wonder how you ever did without it. And even if you don’t need it to keep tabs on equipment costs, depreciation and current values, you’ll keep finding new ways to use all that information that’s at your finger-tips.

In the corporate sector, asset management means a combination of financial reporting (cost, depreciation, value), health & safety (maintenance, warranty and health & safety issues) and the practical (what is where and who looks after it).
We have structured our system so that all of this, and much more, can be managed quickly and efficiently.
